About This Policy

This Privacy Policy describes how SPARK Business Works ("we," "us," or "our") handles information in connection with Teams Meeting Sync for Procore (the "Service"), an Outlook add-in that syncs Microsoft Teams meeting data to the Procore construction management platform.

This policy applies specifically to Teams Meeting Sync for Procore and the data processed in connection with its operation. By installing or using the Service, you agree to the practices described here.

What Teams Meeting Sync for Procore Does

Teams Meeting Sync for Procore is an Outlook add-in that reads meeting information from your Microsoft 365 account and writes it to your Procore account. Specifically, the Service transfers the following data from Microsoft to Procore:

• Meeting title, date, and time
• Meeting attendees (name and email address)
• Meeting description and agenda
• Microsoft Copilot meeting summary (where available)
• Action items generated by Microsoft Copilot
• Full meeting transcripts (for meetings organized by the authenticated user)

This data is not downloaded, stored, analyzed, or retained by SPARK Business Works or its infrastructure. The Service acts as a conduit: it reads from Microsoft's APIs and writes to Procore's APIs on your behalf.

Data We Do Not Collect or Store

Teams Meeting Sync for Procore does not:

• Store meeting transcripts, Copilot summaries, or action items on our servers
• Use meeting content to train AI or machine learning models
• Sell, share, or disclose your meeting data to any third party other than Procore as directed by you
• Retain copies of attendee lists or meeting metadata after transfer
• Record audio or video from your meetings

Authentication Data

To operate the Service, we store the following authentication tokens in our database:

• Microsoft 365 OAuth access and refresh tokens, used to read meeting data on your behalf
• Procore OAuth access and refresh tokens, used to write meeting data to your Procore account
• Your Microsoft 365 user ID and email address, used to associate your account with the correct sync configuration
• Your Procore company and project preferences, used to route meeting data to the correct Procore destination

OAuth tokens are stored securely and are never shared with third parties. No passwords are stored. You may revoke access at any time by disconnecting the Service from your Microsoft 365 or Procore account through their respective account settings.

How We Use Your Information

The authentication and configuration data we store is used solely to:

• Authenticate with Microsoft Graph API to read your meeting data
• Authenticate with the Procore API to write meeting data to your selected project
• Maintain your meeting-to-project linking preferences
• Deliver, operate, and support the Service

We do not use your data for advertising, analytics, or any purpose beyond delivering the sync functionality described above.

Microsoft and Procore Data Handling

Teams Meeting Sync for Procore accesses your data through official APIs provided by Microsoft and Procore. Your use of the Service is also subject to:

• Microsoft's Privacy Statement (microsoft.com/privacy)
• Procore's Privacy Notice (procore.com/legal/privacy)

We are not responsible for the data practices of Microsoft or Procore. Meeting transcripts and Copilot summaries originate in Microsoft's systems and are governed by Microsoft's privacy terms before and after they are transferred to Procore.

Data Security

We implement industry-standard security measures to protect the authentication data and configuration information we store, including encrypted storage of OAuth tokens, HTTPS for all data in transit, and access controls limiting who within SPARK Business Works can access production systems.

Data Retention

We retain your authentication tokens and configuration preferences for as long as your account is active. If you uninstall the Service or request deletion, your tokens and configuration data will be removed from our systems within 30 days.

Your Rights

You may at any time:

• Revoke Microsoft 365 access by removing the app from your Microsoft account at myapps.microsoft.com
• Revoke Procore access through your Procore account settings
• Request deletion of your account data by contacting us at the address below

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the date at the top of this page. Continued use of the Service after changes are posted constitutes acceptance of the updated policy.
